Storage Policy

This Storage Policy describes how Real Vault receives, verifies, stores, secures, insures, documents and releases bullion. It forms part of every client's Storage and Services Agreement and explains the operational standards behind the promise of allocated, segregated custody.

1. Principles

  • Allocated: specific bars, identified by serial number, are held as the client's property. Real Vault never acquires title.
  • Segregated: each client's bars are kept physically apart in a dedicated, tagged position with its own access log.
  • Documented: every intake, movement and release is recorded contemporaneously and signed by two people.
  • Insured: all metal in custody is covered at full replacement value on the day of loss.
  • Auditable: clients and, with their consent, their auditors can verify holdings against the record at any time.

2. Facility and physical security

The Vault at ul. Międzyosiedlowa 8, Warsaw-Wawer, is a purpose-built bonded high-security facility. The vault floor is reached only through dual biometric authentication. Two separate armoured loading bays are used for inbound and outbound consignments so that they are never in the same space at the same time. A dedicated intake and weighing room sits between the loading bays and the vault floor.

The site is monitored around the clock by an armed security team with CCTV coverage of all handling areas; recordings are retained for at least 90 days and longer where an incident requires it. Two-person integrity applies to every handling operation: no bar is moved, sealed or released by a single officer. Access logs are retained and reviewed.

Environmental controls maintain stable temperature and humidity. The facility is inspected by our insurers' surveyors and by independent auditors, and holds the certifications required by our underwriters. For security reasons floor plans and full specifications are not published; institutional clients may review them on site under NDA.

3. Intake and verification

Every deposit is pre-notified where possible. On arrival, the depositor's identity is checked against the client's authorised list. The consignment is opened in the intake room in the presence of two officers and the depositor.

Each bar is weighed on calibrated scales (to 0.1 g for bars up to 1 kg; to 1 g above), measured against the refinery's published dimensions, photographed on both faces with the serial number legible, and, for cast bars above 100 g, ultrasonically tested. Refinery and assay certificates are scanned. Bars that fail any check are not admitted.

The intake receipt records the deposit reference, date, depositor, receiving officer, scale readings and the bar list. Both parties sign. The record and the receipt are uploaded to the client's portal, normally within the same business day.

4. Storage and record-keeping

Admitted bars are placed in the client's segregated position. The vault register records, for every bar, its serial number, refinery, fineness, form, weight, certificate reference, position, intake date and current status. The register is reconciled to the physical inventory at least monthly by two officers, and annually by an independent auditor.

Real Vault does not lend, lease, pledge, pool or rehypothecate client metal, and does not record client metal on its own balance sheet. Clients' bars are not commingled with each other or with any metal owned by Real Vault.

Clients can view their register entries in the portal at any time. Discrepancies must be reported to Real Vault promptly; Real Vault investigates all reported discrepancies within five business days.

5. Insurance

All metal in custody is insured under Real Vault's specie policy with an A-rated international underwriter, at full replacement value on the day of loss, covering the vault, intake and movements operated by Real Vault or its vetted partners. The current confirmation letter is available in every client's portal. Clients must pre-notify unusually large deposits or movements so that limits can be adjusted.

6. Access, inspection and audits

Clients may inspect their holdings by appointment on business days. Visitors are identified, escorted at all times, and are not permitted to bring electronic devices onto the vault floor. Institutional clients may bring their auditor. Real Vault can also provide periodic custody confirmations listing bars by serial number as at a reporting date.

7. Release, withdrawal and shipment

Metal leaves the vault only on a verified instruction from the client — submitted in the portal or in writing and confirmed by telephone or another verified channel — or on a lawful order. Withdrawals are released to the client or an authorised representative against signature and identity verification. Shipments are sealed in tamper-evident containers in the presence of two officers, with seal numbers recorded, and handed over at destination against a signed record.

Real Vault returns the identical bars deposited, not equivalent bars, unless the client has instructed otherwise in writing.

8. Succession

Each private client nominates a next of kin, verified by Real Vault, whose details are shown read-only in the portal and can be changed only after identity verification. On satisfactory evidence of death or incapacity, holdings are released in accordance with the client agreement and applicable succession law.

9. Records retention

Intake receipts, bar lists, movement records, photographs and certificates are retained for the duration of the relationship and for at least six years afterwards, or longer where required by anti-money-laundering law, insurers or legal proceedings. Records are stored in access-controlled systems with backups held in the European Union.

10. Business continuity

Real Vault maintains a business-continuity plan covering loss of power, communications or access to the facility, including standby generation, off-site backups of the register and documents, and arrangements with partner vaults for the temporary relocation of metal under insurance if the facility becomes unusable. Clients would be informed of any such relocation without delay.
